User-Centric Design for Seamless Cloud Platform
Billing and Management Solution

Project Summary

A cloud platform management tool to unify and streamline cloud cost management, optimising expenses and providing actionable insights.

Result

  1. We developed a streamlined approach to cost management.

  2. Provided enhanced payment processes.

  3. We provided improved insights to help you make better decisions.

My Responsibilities

As the lead UX designer, I was responsible for:

  • Conducting user interviews with finance managers & devops engineers

  • Defining IA & user flows

  • Designing the web dashboard and optimization workflows

  • Prototyping and testing via moderated and unmoderated sessions

  • Collaborating closely with frontend/devops teams for implementation

The Challenge

Cloud cost management is often complex, opaque, and reactive. Startups and scale-ups struggle to track spend across AWS, Azure, and GCP. Finance teams and developers rarely speak the same language when it comes to cloud costs.

Klaudworks aimed to build a unified dashboard to simplify visibility, automate cost-saving recommendations, and align engineering and finance teams—without overwhelming them.

Discovery & Research

We kicked off with stakeholder interviews, surveys, and competitive audits. Using affinity mapping, we synthesized findings into three core pain points:

Our Design Goals

With the insights in hand, we defined clear design goals:

Project Analysis

I performed a UX and competitive analysis to investigate the current offerings in the market.

Complexity and Learning Curve

Participants noted the complexity associated with managing multiple cloud accounts across different platforms.

Limited Visibility at once

The compatibility of multiple cloud providers and different platforms posed significant challenges in terms of seamless connectivity and interoperability.

Research insights

Klaudworks opportunities

Ease of Use

Cloud platform management tools, offer user-friendly interfaces and simplified workflows, making it easier for users to make payment, view all cloud provider in one place & invite organisation users.

Performance Monitoring

Participants emphasised the importance of real-time monitoring and performance analytics across multiple cloud accounts, allowing them to identify bottlenecks, optimise resource allocation, and ensure optimal application performance.

Problem-Solving Journey: How Might We

  1. How might we create an intuitive onboarding process for both reseller customers and billing partners?

  2. How might we provide clear insights into cost distribution across different cloud services?

  3. How might we streamline the process of identifying and optimizing underutilized resources?

  4. How might we ensure that the payment process is seamless, automated, and transparent?

Ideating & Solutions

Ideating & Solutions

Klaudworks offers a comprehensive solution to address these challenges:

Onboarding Flow

Design a step-by-step onboarding process that guides users through account creation, role setup, and linking.

Cost Visualisations

Develop interactive visualisations that display cost distribution and trends across various services.

Seamless Payment Workflow

Design a payment process that integrates with user wallets and cloud providers, offering transparency into costs and charges.

Research

Research

Extensive research was conducted to understand user needs, pain points, and expectations. User personas were created: Rebecca Simmons, a Senior DevOps Engineer, and Alex Martinez, an Entrepreneur. Their goals, behaviours, and challenges were thoroughly examined to inform the design process.

User Personas

User Personas

The users of Klaudworks are typically financial managers, DevOps engineers, and IT managers who are responsible for managing cloud and software costs within their organisations. These Cloud users monitor usage, expenses, identify waste, optimise costs. Klaudworks ingests data, unifies costs, provides insights for cost optimisation.

Analysis

The research revealed that both user groups require a unified platform that simplifies cloud expense management. They seek comprehensive cost analysis, resource optimisation capabilities, intuitive visualisations, and automated payment processes. The personas highlighted the need for efficient solutions that save time and support informed decision-making.

UI Designs

Iterations

Several iterations of the design were created and tested with potential users to ensure usability, clarity, and effectiveness. Feedback was incorporated into the design to improve user experience and address any pain points.

Resource Management

Tools for identifying underutilised resources enable efficient resource allocation and cost reduction.

Seamless Payment

The platform seamless payment processes, ensuring timely remittance of payments to cloud providers.

Cost Analysis

Robust cost analysis features provide insights into how costs are distributed across different services, applications, or projects.

Visualisations

Clear visualisations present data in an easily understandable format, aiding decision-making.

Results

Following launch, the redesigned reconciliation flow reduced average time-to-complete from 6 minutes to under 2 minutes, and the number of steps required to log a transaction dropped from 9 to 4. Within the first month, 68% of active users adopted the new flow over the legacy one, well above our 40% target for that period. Support tickets related to "can't find my transaction history" dropped by roughly a third.

Reflections

Our first version of the dashboard prioritized information density, we wanted power users to see everything at once. User testing two weeks post-launch showed the opposite problem: people were missing time-sensitive alerts because they were visually competing with a dozen other elements. We revised the hierarchy to surface only 2-3 priority actions by default, with detail behind a expand toggle.

We should have tested that density assumption with users before building the high-fidelity version; we lost about a week and a half rebuilding what user testing would have caught earlier. The tradeoff we made (shipping fast to hit a client deadline vs. validating first) was the right call given the constraint, but it's not one I'd default to again without flagging the risk upfront.
